Files in Projects

Projects have their own file storage where uploaded files, linked cloud files, or files from comments and project tasks are displayed (depending on your permissions).


Key benefits and use cases

The project file storage helps you:

  • Collect files centrally in your project instead of losing them in comments
  • Switch between list and gallery view depending on whether you have many files or many images
  • Add files quickly using the plus button or drag and drop
  • Link cloud files from Google Drive or Microsoft OneDrive without uploading them
  • Automatically collect files from project comments and tasks (depending on permissions)
  • Find files faster through grouping, sorting, and searching

Opening the file storage in a project

  1. Open the desired project.
  2. Click on Files in the header. (If you don't see the tab, click on the More dropdown menu first.)

Switching views

You can switch between list view and gallery view using the icons in the middle at the top below the header:

  • Gallery view: Ideal for few files or many graphics.
  • List view: Recommended for projects with many files.

Adding files

In the Files tab, click on the + File button in the upper left corner.

Adding files from your computer

Select From my computer to upload files, or drag one or more files from your computer into the file storage using drag and drop.

Adding files from Google Drive or OneDrive (linking)

You can link files from your Google Drive or Microsoft OneDrive to the project.

  1. Select From Google Drive or From OneDrive
  2. Select the appropriate drive, a window will open
  3. Sign in with your Google or Microsoft credentials
  4. Search for a file and select it to link it with the project
  5. After linking, the file will appear in your awork project's file storage

Important: awork does not have access to your cloud drive. Only a link to the file is created and the current name is saved.

When someone else opens the file, they will be redirected to the cloud drive.

Cloud drive permissions apply. This means: Not everyone with access to the awork file storage automatically has access to the linked cloud files.


Files from comments and tasks

Files attached as comments in the project automatically appear in the files section. The same applies to files that are in tasks.

The corresponding read permissions always apply. For example, if you don't have permission to see certain tasks, you also won't see their files in the project files.


Which task a file belongs to

For files from tasks, you'll see the task name below the file name. You can use this to jump directly to the task.

For files from tasks, you need read permissions for the tasks. To delete them, you need corresponding write permissions.


Grouping, sorting, and searching

You can group and sort files. awork automatically remembers your settings for the project.

  • Group by task, user, or type
  • Sort by date, name, or task
  • Search using the line in the upper left with the search icon

Tips and limitations

  • There is no workspace-wide file storage - file storage is only available per project.
  • For global storage in your team, use a cloud drive. It usually offers more detailed options for permission management and sharing.
  • The maximum file size for a single file is 1 GB.

Where do I find the file storage of a project?

Why don't I see some files in the project files?
