Automations in Projects
Create project automations with triggers and actions to automatically assign tasks, update statuses, and run workflows based on events
With automations in projects, you can automatically carry out recurring steps.
You define a trigger ("When ...") and one or more actions ("Then ...").
Example: When a task is created in a specific list, it can automatically be assigned to someone.
How to use automations in projects
An automation always consists of exactly one trigger and any number of actions.
Set up a new automation
- Open your project
- Go to Einstellungen > Automatisierungen
- Click HinzufĂźgen
- Select your trigger
- Define one or more actions
- Click Speichern (the automation becomes active immediately)
Choose a trigger
The trigger is the event that must occur for the automation to start. Depending on the trigger, you may need to add conditions. Look for the underlined fields in the window and click them to select the required values.
Define actions
Choose which action or actions should be carried out. Some actions require additional information. Use the underlined fields here too to set the relevant values.
How to use manual automations
In addition to event-based triggers, you can also create automations with a manual trigger. This lets you start them deliberately through a user action, rather than automatically when an event occurs.
When creating the automation, select Manuell as the trigger type, give it a custom name (for example, Start QA flow), and define one or more actions.
Manual triggers give you full control over when an automation runs.
Run manual automations in a task
- Open the task details view
- Click the manual automations button in the top-right corner (finger/touch icon)
- Select the automation you want from the dropdown menu
The automation runs in the background, and you'll see a brief confirmation message.
Project automations vs. task automations
You can create automations for projects and tasks. Depending on the trigger, you can choose project or task actions.
Project automations are especially useful for keeping track of specific project statuses.
Budget automations
You can set up the budget automation âWenn das Projekt X Einheiten des Budgets erreicht hat ..." directly in the project:
- Open your project
- Open the Zeiten tab
- Switch to the Retainer tab
- Click the bell icon to open the settings pop-up
- Select the unit: Tage, Stunden, or Prozent
If the automation is already set up, clicking the bell icon again opens the pop-up directly in edit mode.
Automations in project templates
You can set up automations in project templates ahead of time. They'll then appear automatically in any new project created from that template.
To add an automation to a project template:
- Go to Einstellungen (gear icon in the bottom-left corner of the main menu) > Vorlagen > Projektvorlagen
- Open the template
- In the Automatisierungen section, click HinzufĂźgen
- Create the automation as described for a project
Important: If you change automations or create new ones in an existing project template, awork will ask whether you want to apply the changes to all projects created from that template.
Tip: You can also create inactive automations in the template. They'll be copied to new projects, but won't become active until you turn them on in the project.

Important limitations
-
Not every action can be combined with every trigger. For project-only triggers, actions that require an existing triggering task are hidden.
-
If time tracking is disabled, time triggers and actions, including budget triggers, are hidden.
Tips and troubleshooting
Which time zone are due date automations triggered in?
Date and due date triggers use the workspace time zone. This means due dates are evaluated consistently for everyone in a workspace, regardless of the time zone set in their account or on their device.
For automations with a due date trigger, the actions run at 08:00 in the workspace time zone.
Disable an automation instead of deleting it
You can simply disable automations instead of deleting them. This is useful, for example, if you're doing a one-time cleanup and want to suppress all actions until then.
An automation has stopped working
Check whether an error caused it to turn itself off, for example, if a task list it uses was deleted:
- In Einstellungen des Projekts > Automatisierungen, a red exclamation mark appears next to automations that have been turned off automatically.
- Fix the automation, then turn it back on.
FAQ
Can one automation trigger another automation?
Regular project automation actions don't trigger other automations. If you want multiple actions to respond to the same trigger, add them to the same automation. In contrast, changes to tasks made by an AI agent can trigger matching automations, including ones that run other agents. However, within the same execution chain, the agent can't trigger the automation that started it again. Avoid circular triggers.
I have a due date trigger. When will it run?
For automations with a due date trigger, such as "When a task is due...", the actions run at 08:00 in the workspace time zone. The due time doesn't matter. For example, if a task is due at 18:00, the automation still runs at 08:00 on the due date.
Whose time is tracked by "When a new task is created via email, start time tracking on the task"?
Time is tracked for the person who sent the email, provided they have an awork account. Time is tracked regardless of whether anyone is assigned to the task, or which user is assigned.
If I change an automation in a project template, will existing projects also be updated?
If you change or add automations in an existing template, awork will ask whether you want to apply those changes to all projects created from that template.
My automation seems to have stopped running. Why?
Check whether an error caused the automation to turn itself off, for example, if a task list it uses was deleted. Go to Einstellungen > Automatisierungen. A red exclamation mark may appear next to automations that have been turned off. Hover over it to see the reason. Fix the automation, then turn it back on.
