Managing Customers

Customers in awork give your projects immediate context right away: you can see at a glance who they're assigned to.


Key Benefits and Use Cases

  • Faster project overview by assigning projects to a customer and displaying that customer across all projects.
  • Assign, find, and distinguish projects more quickly because the customer is directly visible.
  • Cross-project reporting at the customer level, for example for billing.

The Customer Overview

You'll find all customers in the Main Menu under the Workspace section, then Customers.

The overview works similarly to the project or user overview. Here you can:

  • Search: Find specific customers.
  • Sort: By industry, name, projects, or location (ascending or descending).
  • Filter: Choose which columns to display (industry, projects, location, tags).
  • Export: Click the action button > Export in the top right of the overview to download the customer list.

Opening Customer Details, Projects, and Time Entries

A Customer's Details

Click on a customer's name to display their customer details. These include: saved contact information, industry, and tags. In the top right area, you'll find the action button, which gives you the following options: edit, copy link, open in new tab, delete.

Below that, you'll see a list of all active projects (yellow status type "running") for that customer.

A Customer's Projects

Open the Projects tab in the header to see all projects for this customer, both active and completed ones.

Configure the view to your liking using the options in the top right.

  • Sort by: Tasks, budget, created, due, progress, key, customer, name, start date, status, workflow.
  • Group by: Due week, due month, customer, status, status type, type, assigned to, workflow.
  • Choose displayed columns: awork remembers your selection automatically.
  • Create a filter and save it, or select a saved filter. The filter bar can be toggled on or off using the filter button in the action bar (funnel icon).
  • Search for projects using the search line in the top left with the magnifying glass icon (next to the + Project button). The list is automatically searched and filtered accordingly. When you clear the search text, you'll return to your previous view.

Reset your selected sorting, grouping, and filtering criteria by choosing Reset to default from the action button in the top right.

Logged Time Per Customer

In the Time tab, you'll find all logged time for this customer.

  • Total logged time: broken down into billable and non-billable.
  • Budget remaining: logged time and project budget.
  • Billable: time to be billed and time already billed.
  • Actual vs. planned: logged time compared to the sum of planned effort for all tasks.

Below the KPIs, the Time tab shows you all time entries logged to projects for this customer. The bar chart visualizes the distribution of tracked time; hover over the bars for more information.

  • Select a time period: day, week, month, quarter, year, entire time.
  • Group by: project, user, or depending on the selected time period, by day, week, month, quarter, year.

Switch from Time to Planned vs. Actual to compare planned hours across projects, lists, tasks, subtasks, as well as logged time and progress.


Creating a New Customer

You have several ways to create a new customer:

  • Using the small + button in the main menu on the left, right next to Customers. This appears when you hover over the word "Customers".
  • In the customer overview (main menu > customers) using the + Customer button in the top left corner.
  • Use the keyboard shortcut C.
  • Select add customer via the + button in the action bar at the bottom center.

After creating a customer, you're not automatically redirected to it. You will, however, see a confirmation in the top right. If you click on it, the customer opens immediately.

What Customer Information You Can Store

For each customer, you can maintain the following data:

  • Name (displays everywhere in projects; whether to include company designation like GmbH/AG is up to you).
  • Logo/image (helps with quick visual identification of customers and projects).
  • Industry (displays only in the customer and can be freely described).
  • Tags (for filtering, for example for especially important or large customers).
  • Contact information (flexible fields to store any number of contact details).

Tips and Best Practices

  • Add a logo/image if you want to visually distinguish customers and projects quickly.

  • Use tags to filter customers more quickly (for example, "key account" or "major client").

  • Use a customer's projects and time tabs to see active projects and logged time in one place.

  • Workaround for adding contact persons

    You can't store full contact persons for customers in awork. The reason: awork isn't a CRM, but rather focused on project management and time tracking.

    But: If you just want to save a name as a contact person, you can store it as an additional field in the contact information.

    1. Open the customer details
    2. Click the action button in the top right and select edit
    3. Switch to the contact tab and add a new field in the last section other
    4. Enter a custom label like contact person and enter the name in the value field
    5. Click save

FAQ

Where do I find all customers?

You'll find all customers in the menu on the left under Customers.

Is there an easy way to see all projects for a customer?

Yes. In the customer details, you'll find an overview of all projects in the Projects tab. Additionally, you can filter for a customer's projects in the project overview using the filter icon or use the search function.

Can I change a project's customer?

Yes. In the project details, you can click on the name of the current customer and select a different customer or no customer.

Can I add contact persons to customers?

No. You can't create contact persons for customers in awork because awork wasn't designed as a CRM. If you just want to save a name, you can add a custom field (such as "contact person") in the customer details under edit, in the contact tab, in the other section.
