All Task Details
In the task details, you can see the task along with information and progress, and you can edit it directly.
Main Functions
The task details are your control center for everything related to a task:

Check and change info quickly - name, description, status, dates, tags and more

Bundle collaboration - comments, @mentions, files and activity log all in one place

Planning & analysis - planned effort, logged time, remaining effort and calendar scheduling

Control notifications - via the bell icon and the list of followers
Task Name and Description
The task name is the title of the task. The description lets you write detailed briefings, for example.
The toolbar of the text editor supports the following formatting:
- Text sizes: Header, Title, Subtitle, Text
- Text styles: Bold, Italic, Strikethrough, Underlined
- Code: Display with corresponding font
- Links: Insert hyperlinks
- Quote: Insert quotes
- Lists: Numbered and unnumbered lists, checklists
- Section divider: Aesthetic separation of content
- Files: Attach files
The toolbar appears when your cursor is on an empty line (click the + button) or when you select text.
Select text in a task and ask AI to:
- Request translations
- Create summaries
- Suggest next steps
- Generate subtasks
Task Status
Each task has a current status. You can change it via the round status icon.
For private tasks there's a standard set of five statuses. These cannot be edited.
For project tasks, statuses can be defined individually for each project. They are also the columns in the Kanban board of the project.
Color Meaning of Task Statuses
- Gray / Blue (To-Do): Tasks that are not actively being worked on yet.
- Yellow (In Progress): Tasks that are actively being worked on.
- Purple (In Review): Tasks in a feedback or review loop.
- Red (Blocked): Tasks that are currently not being worked on or are postponed.
- Green (Done): Tasks that are completed.
Project and Task Lists
A task in a project is a project task, while a task without a project is a private task.
You can change a task's project in the edit window via the action button > Edit. Alternatively, you can select Move to Project directly from the action button.
Task Lists (projects only)
Task lists only exist in projects. That's why the list fields are only visible for project tasks.
A task can be in no list, one list, or multiple lists at the same time - it remains the same task. If you complete it in one list, it's completed everywhere.
A task list is the primary list.
Logged time and planned effort are only counted for the primary list.
Activity
The activity categorizes tasks and time. This helps with reporting, billing and filtering tasks and time.
Each task must be assigned to exactly one activity. By default, the most recently used activity is preselected.

Assignees
You can assign tasks to users visible to you in the workspace. When a task is assigned, it appears in the task filters of the respective users. When assigning, notifications for updates to that task are also activated for the users.
Note: If the status is set to To-Do, the task doesn't have an assignee yet, and you change it to In Progress, you'll be automatically set as the assignee.
One or Multiple Assignees in the Workspace
You can set in the workspace whether tasks can have only one or multiple assignees.
- Navigate to Settings > select Workspace and scroll to the Tasks section
- Enable A task can have multiple assignees
Only One Assignee
If you disable multiple assignees, you can only assign one user. A new assignment will then replace the previous one.
Multiple Assignees
When multiple assignees are enabled, you can select multiple users one after another and remove them individually.
Via the person icon in the user selection, you can replace all assignees with a single user.

Start Date, Due Date and Times
A task can have a start date and an end date, or just one of them. If both fields are filled in, the task will be displayed in the project timeline on the timeline.
The end date is considered the due date. This field is displayed in lists and overviews and is used to flag tasks coming due soon.
In addition to the date, you can also set times for start and end. awork automatically sets 8:00 AM (start) and 6:00 PM (end).
Checklist
Each task can have a checklist with as many items as you want. A checklist item has only two statuses: open and completed.
Items can be as long as you want and will automatically wrap. You can change the order by drag and drop and edit the text by clicking on it.
You can see the progress of the checklist in the list view of the task.
Subtasks
In awork there are two task levels: under first-level tasks you can add further tasks (subtasks). These are regular tasks with all functions.
In the details of a top-level task, there's a Tasks section. There you can create and view subtasks.
In the details of a subtask, you can additionally create a checklist.

Planned Effort, Logged Time and Calendar Scheduling
Planned
For each task, you can set a planned effort. This is the expected time commitment.
When setting it, you can choose whether the planned effort is distributed automatically or manually among the assignees:

A = Automatic - the effort to be distributed is automatically assigned

M = Manual - the effort to be distributed is manually assigned
Planned effort is required if the task should impact workload and be used for capacity planning.
If you only set a total value, it will be distributed equally among all assignees. However, you can also enter a separate planned effort for each user.
Logged
In the task details and in lists, you can see the sum of all time logged to the task.
To view all time for a task, go to the detail view and click the green Logged button in the task KPIs. A window will open showing all logged time. There you can search and export the time directly.
In Calendar
If a task is scheduled in the calendar, you'll see the scheduled entries directly in the task details. Click In Calendar to view the date, time and duration of scheduled entries.
Via the action button you can directly Reschedule and adjust the time range or Remove Scheduling.
Files and Attachments
You can attach as many files as you want to a task (e.g. images, PDFs). Upload them via the Upload File button or the paperclip icon in comments, or drag and drop them into the task or comment.
Files you attach to a comment will automatically also appear as attachments to the task.
You can also link files from Google Drive or OneDrive. These files are only linked. Other people need the appropriate permissions in their respective drive to open them.

A preview of Google Drive or OneDrive files is not currently possible in awork.
Mention Files
Type @ and the name of the file (only files belonging to the task) to reference it in the description or a comment.
Note: If you delete a comment, the attached file is not automatically removed from the task. If you delete the file from the task, it's no longer accessible in the comment.
You can view files from tasks in the project under the Files tab - including information about which task the file belongs to.

Tags
Tasks can have tags. You can create new tags or select from the tag pool.
Project tasks and private tasks have different tag pools. Depending on the task type, different tags will be suggested to you.

Tags are displayed in alphabetical order.
Priority Flag
Via the flag icon, you can mark a task as priority. The flag is visible in the details and overviews. You can filter by it or build automations on it.
Activity Log and Comments
In the activity log below the task details, you can see all changes and comments on the task.
You can mention other users with "@" to trigger an explicit notification.
You can also mention:

@Workspace - notifies every user in the workspace

@Task - notifies everyone assigned to the task or who has the bell icon enabled

@"Team" (e.g. @Marketing) - notifies every team member
Requirements for these notifications:

Profile settings - the corresponding notifications are enabled

Bell icon - is enabled in the task

Permissions - the task is visible according to rights management
Notifications and Followers
Via the bell icon in the top right of the task details, you can enable or disable notifications for a task.

Followers are users who receive notifications for a task. They are listed in the task details.
Notifications are automatically enabled for a user if they:

Created the task
-
Are assigned to the task
-
Are mentioned in a comment
If you disable notifications, you'll be removed from the list of participants and won't receive any more updates. Each user can only remove themselves from the list.
Important: Assignees are not additionally shown in the followers list, even though they receive notifications.
Recurrence Rule
You can mark tasks as recurring via the icon with the circular arrow.

Tips and Best Practices
- You can resize the detail view: hover over the edge of the detail view and drag it to make it bigger or smaller.
- With the To-Do status, you can choose between two layouts: gray or with a blue background.
FAQ
I deleted a task. Can it be restored?
Yes. If you accidentally delete a task, our support team can restore it. Contact support and share the task title.
Can I make the detail view bigger or smaller?
Yes. Hover over the edge of the detail view and drag it to make it bigger or smaller.
Can private tasks have multiple assignees?
No. Multiple assignment of assignees is not possible for private tasks.
Is there a limit for file size when attaching?
No. There's no limit regarding file size in awork.
How can I see all logged time for a task?
Open the task in the task details and click the green Logged button in the task KPIs. A window will then open showing all logged time.
