Setting a Task as Recurring
Learn how to create and manage recurring tasks to make your work day more efficient.
Recurring tasks are copies of the original task and are only created when the configured recurrence rule is triggered.
Key Benefits and Use Cases
Recurring tasks are especially useful when you need to do the same thing over and over again:
-
Less manual setup through automatic creation of new tasks
-
More reliability for regular to-dos in your daily workflow
-
Clear planning through timeline preview and workload consideration
How Recurring Tasks Work
When a task is set as recurring, it gets copied from the original task when the rule is triggered and assigned a new due date.
Each copied instance is independent: it can be edited, deleted, and moved separately.
Through the recurrence rule settings, you can edit the original task at any time, for example if you want to adjust the name of tasks that will be created in the future.
These values are copied from the original task:
-
Name
-
Description
-
Subtasks
-
Files
-
Watchers
-
Assignees
-
List membership (for project tasks only)
-
Tags
-
Activity
-
Priority
-
Planned effort
Everything else (like comments or logged time) is not carried over.
Note: Users added to a recurring task later won't be automatically assigned to future recurring tasks. Only assignees from the original task will be assigned repeatedly. The same applies to other settings (like budget adjustments).
Making a Task Recurring
There are 2 ways to make a task recurring:
- Click the circular arrow icon in the task detail view
- Or click the action button in the task detail view and select the option Make task recurring
Recurring tasks are marked with an activated circular arrow icon in task lists and task details.
Recurrence Rule Settings
Setting up the recurrence rule happens in several steps:
- Interval: Decide how often the task should be copied (days, weeks, months, years).
- Start date: Choose when the rule should take effect (default: today).
- Due date: Set when the task is due, relative to its creation.
Configuring the Interval
- Day(s): Choose which weekdays the task should be created on.
- Week(s): Decide whether the task should be created every week or at intervals (e.g., every 2 weeks).
- Month(s): Choose a fixed calendar day or a relative week and weekday for creation.
- Year(s): Define whether the task should be created every year or at intervals (e.g., every 2 years).
Setting the Start Date
Rule begins:
Choose a date in the Rule begins field from which the rule should take effect. The interval starts from this point.
- Default value: Today (meaning the interval starts immediately).
- Alternatives: You can choose any date or select the task's due date as the start point. In this case, the counting only begins with the due date of the current task. Make sure the due date is set in the task.
The window below shows the date when the next task will be created.
Creation time:
The Creation time field sets the time at which the task will be created. By default, this is set to 8:00 AM (local time).
Due Date
Due after:
The due date is specified relative to the task's creation. For example, a task created every four weeks might have a relative due date of seven days after creation. This way it appears every four weeks but doesn't immediately have a due date. The assigned user then has seven days to complete the task.
Deleting the Recurrence Rule
To mark a task as no longer recurring, click the circular arrow icon in the task details and select Remove. This works both on the original task and on all recurring tasks.
Important: The recurrence rule is automatically deleted as soon as the project status is set to Completed.
Recurring Tasks in the Timeline
In the timeline, recurring tasks are displayed as a preview for the duration you set in the recurrence rule under Due after.
These entries are just a preview: Tasks can only be edited and moved once they're actually created.
When you click on a preview, you'll see the recurrence rule and can jump directly to the original task.
Previews only show the next 8 months on a rolling basis.
In the workload calculation, recurring tasks are also taken into account, provided the original task (as the basis for follow-up tasks) contains planned effort and assigned users.
FAQ
Are recurring tasks always the same task or new tasks?
No, they're copies of the original task. Each instance gets a new due date and can be edited, deleted, and moved independently.
How do I edit a recurring task?
Edit the original task through the recurrence rule settings. Changes will be applied to all future tasks.
How do I remove the recurrence rule?
Click the circular arrow icon in the task details and remove the rule. This works on the original task and on all recurring tasks.
Why can't I edit the preview in the timeline directly?
The timeline entries are just a preview. You can only edit and move tasks once they've actually been created.
