Applying Filters

You can filter in various places in awork, including task filters (saved as Views) and overview pages for projects, clients, and users.

Task Filters in Views

Task filters are saved as Views and accessible via Views in the sidebar menu. In the sidebar, you can create new task filters, search for them, organize them, and share them with other users or your entire workspace (with view or edit permissions).

Default Filters

The first section in the Views sidebar contains your default filters (New Tasks, My Tasks, Private Tasks).

Default filters cannot be edited or deleted, but you can collapse the entire section to hide it.

  • New Tasks:
    Shows all tasks assigned to you in the last 7 days that aren't complete.
  • My Tasks:
    Shows all tasks assigned to your user.
    Tasks from projects with the status "Not Started", "Blocked", or "Done" are excluded.
  • Private Tasks:
    Shows all your private tasks.

How to Create a Task Filter (View)

Create a task filter from the Views sidebar. It starts as an empty draft that you fill with Quick Filters or the Advanced Filter modal.

Creating a New Draft View

  1. Navigate to Views in the sidebar menu
  2. Click the + button in the Filter section in the Views sidebar
  3. Add criteria using Quick Filters or Advanced
  1. Click Save in the filter bar at the top right and select Save as New
  2. Give the task filter a name and press ENTER or click outside the popup

Once a draft is saved, the filter can be shared and favorited.


How to Use Quick Filters

Quick Filters are the fastest way to filter data directly on a page.

  • Display as badges in the filter bar
  • Are always linked with AND
  • Advanced criteria display as an "Advanced Filter" badge when they can't be shown as quick filter badges anymore
  • Available options vary depending on the page and may be fewer than in the advanced filter modal

Quick filters are available on:

  • Task filters (Views)
  • Project overview
  • User overview
  • Client overview

Applying Quick Filters

  1. Open a supported overview page (e.g., Projects) or a task filter (View)
  2. Click + Filter by
  3. Select one or more properties as fields
  4. Click outside the popup to apply them
  5. See the results immediately

Saving a Quick Filter Configuration

  1. Make changes until the Unsaved Changes indicator appears
  2. Click Save/Load Filter
  3. Save the changes in the current filter (if one is loaded) or save as a new one
  4. Enter a name and click outside the popup to confirm

Tip: You can add more quick filters anytime by clicking + Filter by again. If you need more complex logic, click Advanced.

Loading a Saved Filter on Overview Pages

This applies to overview pages for projects, users, and clients.

  1. Click Save/Load Filter in the filter bar
  2. Select a saved filter from the list

Removing a Loaded Filter on Overview Pages

To remove a loaded filter on an overview page, click the X button on the far right of the filter bar.

You might see an arrow instead of an X. This means you have local changes to your saved filter and must discard them before you can remove the loaded filter.


How to Use Advanced Filters

Advanced Filters let you create more complex logic. You can open the modal in any view where filtering is possible, using the Advanced Filter button (if the filter bar is visible).

You can:

  • Combine multiple conditions
  • Use AND/OR logic
  • Use operators like Is, Is Not, Contains
  • Group conditions in filter groups
  • Create a filter using AI

Creating an Advanced Filter

  1. Click Advanced Filter (if the filter bar isn't visible, enable it using the funnel icon at the top right Show Filters)
  2. Click + Add Filter and select or search for a property
  3. Enter a value or select an item from the popup
  4. Click outside the popup to confirm
  5. Adjust the operator (e.g., from Is to Is Not or Contains)
  6. Add as many filters as you want
  7. If you have two or more filters in a filter group, switch between AND and OR
  8. Click Apply to apply the changes
  9. Click Save to update the filter or save it as a new one

Using Connectors (AND / OR)

Connect segments with:

  • AND - All conditions must be met
  • OR - At least one condition must be met

You can only use the same connector within a filter group (either only AND or only OR).

Using Filter Groups (Parentheses)

Group segments in parentheses to control the logic.

Example:

  • (Status = "In Progress" OR Status = "Review")
  • AND Assigned to = Me

This lets you create complex structures without it getting messy.


Building Blocks of Filters (Filter Bar, Segments, and Groups)

Filter Bar

The filter bar can be shown or hidden using the filter button in the action bar. It's available for task filters and on the overview pages for projects, clients, and users.

Default filters don't have a filter bar.

If the filter bar isn't visible but the filter icon is blue, a filter is active.

The filter bar gives you access to:

  • Add or remove quick filters
  • Open the advanced filter
  • Save changes
  • Discard local changes

Filter Segments

Every filter consists of segments.

A segment is a single condition: Property - Operator - Value

Examples:

  • Status is "In Progress"
  • Due Date before tomorrow

Filter Groups

To bundle filters, use filter groups.

  1. Click + Add Filter Group
  2. Add the filters you want
  3. Click the connector to change the connection
  4. To delete an entire filter group, hover over the group on the right until a red X appears, and click it

Local Changes to a Filter

You can make local changes to a filter anytime (even shared filters) when you need a specific configuration.

  • Discard local changes using the rotating arrow icon in the filter bar: Reset Changes
  • Save changes in the filter if you have permission to do so

Changes to a filter aren't saved automatically.

If changes are made to a filter, the Unsaved Changes indicator is displayed.

Operators define how a filter works. Common operators are:

  • Is / Is Not - Exact match
  • Contains / Does Not Contain - Text-based comparison

  • Before / After / Between - Date-based filters

You can save filters to reuse them later.

Available actions:

  • Save a new filter
  • Update an existing filter
  • Duplicate a filter
  • Delete a filter

To access saved filters:

  • Open the filter menu
  • Select a filter from your list of saved filters

How to Share Task Filters

You can share advanced task filters with other users, teams, or your entire workspace.

  1. Click the three-dot menu on a filter and select Share
  2. Add users or teams in the popup and set permissions

Permissions include:

  • View Access: Users can only view the filter
  • Manage Access: Users can edit and save the filter (changes apply to everyone with access)

How to Use Filters in Dashboard Widgets

You can add task filters and project filters as widgets to your dashboard in the Home area.

  1. Open Edit Mode and then click + Widget
  2. Select List of Projects or List of Tasks
  3. Name the widget and select an existing filter or create a new one via + Create Filter

Where can I use quick filters?

Why is the filter icon blue but I don't see the filter bar?

If the filter bar is hidden but the filter icon is blue, it means a filter is active.

Can I share every filter with my workspace?

Only task filters can be shared with other users, teams, or your entire workspace.

What's the difference between archiving and deleting a filter?

Archived filters are moved to Archived Filters and can be restored later. Deleted filters can't be restored.

Why can't I edit an archived filter?

It's not possible to make changes to an archived filter. You need to restore it first.

Why do I see no results?

The conditions might be too restrictive. Remove one segment at a time and try again.

Why can't I edit a segment?

Some properties need to be removed and added again to be changed.
