Working with Teams

Learn how to use Teams to group projects and users in your workspace and restrict visibility to your own team.

This way, teams only see their own projects when needed - not those of others.

Creating teams

You manage teams under Settings > Teams.

Important: As long as you haven't created any teams, you won't see options to assign users or projects to teams or to filter by teams.

  1. Navigate to Settings (gear icon in the bottom left of the main menu) and select Teams

  2. Click the + Team button

  3. Enter a name and choose a color and icon

  4. Save the team

After creating it, you'll immediately see a user selection so you can assign members to the team right away.

Icons with a small blue checkmark are icons you've already used for other teams. You can reuse them anyway.


Assigning users to teams

Each user can be in any number of teams at the same time.

  1. Click the Action button next to the desired team

  2. Click Assign users

  3. Select or deselect users and confirm

Alternatively, you can set team membership on a user's detail page using the Teams selection directly below their name.

Important: Changes to team membership in user details can affect permissions. You need admin rights for this.

When inviting new users, you must select a team to assign them to. You can change teams anytime after the invitation in Settings or in the user details.


Assigning projects to teams

Projects have a team selection on their detail page and in the editing window, where you can set their team membership.

  1. Open the project home page or the editing window

  2. Open the Team selection

  3. Select the desired team

If you have sufficient permissions for the project, you can change teams. You'll only see projects available for selection that you can see yourself.

If you as a user can only see projects from your own teams, you must assign a new project to one of your teams when creating it.


Restricting visibility to your own team

In the permission role settings, you'll find two options to limit visibility to your own team:

  • Only projects from own team (Projects section)

  • Only users from own team (Users section)

You'll find these options under Settings > Rights Management > General Permission Roles > Click on role name.

When you enable them, users with this role can only see projects or users from their own teams (and the set permissions apply).

If the setting is not enabled, the set permissions for project details, tasks, and time tracking apply to all projects in the workspace.

Which projects will I still see?

Even with restricted visibility, there are exceptions:

  • Assignment to a project: If a user is assigned to a project that doesn't belong to their teams, they can still see it. The permissions of the respective project role apply

  • Project creator: Whoever created a project can always see and edit it

  • Assignment to a task only: If a user is only assigned to a task on a project they shouldn't normally see, tasks are visible but not the project details


Filtering by teams

Once you've created teams, team filters are available, for example in:

  • Team planning

  • Time reports

  • Tasks

  • Project overview

  • User overview

Note: In time reports, it makes a difference whether you filter teams by users or by projects.

  • If you filter projects by teams, all time entries for projects assigned to the team are shown. This can include time entries from users who don't belong to the team.
  • If you filter users by teams, all time entries from users who belong to the team are shown. But these don't have to be all time entries recorded on the project.

Editing and deleting teams

You can delete teams in the team overview.

  1. Navigate to Settings > Teams

  2. Open the Action menu on the team using the Action button

  3. Select Edit or Delete

Users are automatically removed from the deleted team.

If projects were assigned to the team, you can reassign them to another team in the delete window.


Disabling teams

If you no longer want to use teams, simply remove all teams. After that, team filters and team selection options will disappear from your workspace.


Tips for a clean team structure

  • Create teams first before you expect to filter by team or make assignments

  • Keep admin rights in mind when changing team memberships through user details

  • Choose the right team filter in time reports: Project filter shows project time, user filter shows user time


FAQ

Why don't I see any team filters or team selection?

As long as you haven't created any teams, no options will be displayed to assign users or projects to teams or to filter by teams.

Can a user be in multiple teams?

Yes. Each user can be in any number of teams at the same time.

Who can change team memberships in user details?

You need admin rights to make changes in user details, as these changes can affect permissions.

Which projects will I still see despite enabling "Only projects from own team"?

You'll continue to see projects if you're assigned to the project (with your project role permissions) or if you created the project. If you're only assigned to a task, you'll see tasks but not the project details.

What happens when I delete a team?

Users are automatically removed from the deleted team. If projects were assigned to the team, you can reassign them to another team in the delete window.
