How to open Account Settings

There are 2 ways to access your Account Settings:

  • click on your profile picture in the bottom left of the main menu (or your initials) and select Account Settings

  • or navigate to Settings (gear icon in the bottom left of the main menu) and select Account

Edit your own profile

Click on Edit user at the top center and optionally add information in the Details tab such as:

  • a profile picture
  • a title
  • your position
  • your birthday
  • tags

In the Contact tab you can add your phone number, email addresses, addresses, messenger accounts or social media accounts, URLs and other details.

Manage your account

Workspace email

  • for notifications
  • publicly visible in your workspace

Account email

  • for logging in and for important account emails
  • used across all your awork workspaces

Changing your email address requires verification. Enter the one-time code sent to your inbox.

To change your password, you'll need your current password.

If you've forgotten your password, you can reset it as follows:

  1. Go to the login page (or log out first).
  2. Click on Log in with email & password.
  3. Click on Forgot password.
  4. In the next step, enter your email address.
  5. You'll receive an email with a link to update your password.

Enable login via Google or Microsoft

If you'd prefer to skip passwords, link your Google or Microsoft account and sign in with one click.

  • Link from the start: When creating your account or accepting an invitation, select Sign in with Google or Sign in with Microsoft to link your account right away.

  • Link afterwards

  1. Click Set up next to Enable login via Google or Microsoft

Customize display settings

Language

  • choose between German and English

Time zone

Your time zone determines how dates and times are displayed in awork. It's set when you create your account. Manually set your time zone if you travel, as it doesn't update automatically.

Note: The first day of the week in Time > My Week follows your browser's language/region settings. English (UK) starts on Monday; English (US) starts on Sunday.

Dark mode

Choose your preferred appearance:

  • Off always uses light mode
  • Auto adopts your browser/operating system settings (default)
  • On always uses dark mode

For dark mode, you can also choose the variant: Standard or High contrast

  • enable this option if you want links to always open in the desktop app (you must have the Mac or Windows app installed)

Hide start/stop timer

  • hide the stopwatch buttons (timer) for your user - both the stopwatch in the bottom right and the smaller timers in projects and tasks

Time format for totals

Control how tracked total times are displayed in projects and tasks:

  • Tracked time totals are displayed by default in Auto mode and change depending on the amount:
    • Under 8h displayed as hours format (e.g. 5:30h)
    • Over 8h displayed as days format (e.g. 1,2d)
  • Hours (h) always shows totals as hours format (e.g. 20:00h)
  • Days (d) always shows totals as days format (e.g. 2,5d): 1d = 8h

Individual times and running timers continue to always be displayed in the format 01:20:30 or 01:20h.

Name display

  • First & last name (displays your full name in awork; last name must be saved in your personal details)
  • First name

Hide recommendations in Time > My Day

Turn off the switch to show your appointments under Time > My Day and create time entries directly from them.

Note: If your admin has disabled time tracking for all users, the settings Hide start/stop timer and Hide recommendations in Time > My Day will be hidden.

Projects in the main menu

The Projects section in the main menu is divided into Favorites, External Projects, and My Projects. In Account Settings, decide which projects are shown in the menu:

  • Show favorites
  • Show external projects
  • Show my projects

Sections are only displayed if they contain projects.

Set your availability

Weekly capacity (in hours)

Your weekly working hours play a role in team planning and represent your available, plannable time in the Planner. The default is 40 hours per week. Do you work part-time or not at all on certain days? Then adjust your own hours here.

Holiday region

Choose your region so you see the appropriate holidays in the workload overview.

Note: Changing your own holiday region requires write permissions for user planning. If your region is not listed, users with the appropriate permissions can set up custom holidays. Workspace administrators can edit this setting at any time.

Enable or disable reports and briefings

Stay up to date with automated email summaries that you can enable or disable here:

  • Weekly briefing arrives Monday morning with upcoming due dates, overdue tasks, and a preview of the coming week
  • Weekly report arrives Friday with completed tasks, tracked time, and your week's achievements
  • Monthly report arrives on the 1st of the month with a complete monthly overview including tracked time and productivity statistics

Choose your notification settings

Enable or disable:

  • Automatically mark notifications as read when clicked
  • Automatically receive notifications for tasks you create (watcher)

Decide which notifications for tasks, projects, docs, and general updates you want to receive and through which channels:

  • In the awork web application
  • Push notifications in the awork app for iOS or Android
  • Email for direct delivery to your inbox
  • Slack for messages via the Slack integration (if linked)

Create tasks via email

Send an email to your personal task email address, and a private task will be created automatically. Check out this article for more details: Create tasks from emails

FAQ

Where do I find Account Settings?

Click on your profile picture in the bottom left of the main menu (or your initials) and select Account Settings, or navigate to Settings (gear icon in the bottom left of the main menu) and select Account.

Do Account Settings apply to all my workspaces?

Yes. Your Account Settings control how you use awork across all your workspaces. Your Account email is your primary identification in all awork workspaces.

Why is my Account email different from my Workspace email?

Your Account email is the one you use to log in to awork. Only you can change it in your Account Settings. With the same account, you can access multiple awork workspaces.

Within each workspace, you have your own user profile. This profile can contain different information depending on the workspace. If permissions allow, other users (such as admins) can edit your workspace profile, for example to add contact information.

These changes don't affect your login email or your Account Settings. Notifications are always sent to the email address saved in your account.

That's why your Account email and your Workspace email can be different.

Can I continue to log in with email and password after linking Google/Microsoft?

Yes. After successfully linking, you can log in with Google/Microsoft, and login with email and password will also continue to work.

What happens if I disconnect Google/Microsoft and have never set a password?

awork will send you an email with a link to create a password.

Why don't I see "Hide start/stop timer" or "Hide recommendations in Time > My Day"?

If your admin has disabled time tracking for all users, these two settings will be hidden.

One of my users forgot their password and can't log in. How can I reset the password for a user?

Go to the login page, click on Log in with email & password > Forgot password, then in the next step enter the user's email address. The user will then receive an email with a link to update their password.
