The Planner
Bring together the coordination of your projects, tasks, and your team with the awork Planner. It lets you plan your work in detail or at a high level over time, taking into account your team's capacity and availability for the coming days, weeks, and months.
The Timeline View
The Project View
The first view in the Planner is the project view. Here you see an overview of all your projects. On the left side, you'll find a list of all projects. On the right side, you see the projects in the timeline, provided the project's start and end dates are set.
The project list offers options for searching, filtering, sorting, grouping, as well as showing and hiding project columns.
By clicking on a project, you can open the task timeline for that project, or jump to the user workload view of the project team. You can also navigate to the project details page from here. When you do, you'll leave the Planner.
When you open the task timeline or the user workload of the project, you can always go back to the overview by closing the selected project at the top left.
In the timeline, you can easily move entire projects by grabbing them and dragging them to your desired date with drag and drop.
When you're in the project overview, all projects are always displayed. You can use the project filter to select specific projects or choose a team if you only want to see certain projects. The view remembers what you last selected here.
The Task Timeline
The task timeline has the same features as the timeline you already know from projects.

The User View
The second tab of the Planner is the user view. Here you see the workload of users based on your selected filter. It gives you an overview of your team's utilization.
If no filter is set, only your own user is displayed.
When you open a project in the overview and then switch to the user view, only users who have been added to the project are shown.

The Planner Checklist
The Planner checklist supports you in the planning process. When you generate it, awork automatically searches your data for items you should check, for example upcoming project and task deadlines, milestones, absences, and overbooked team members. In the settings (top right), you can set the time period, for example the next 7 days.
The checklist only considers data that matches your current project filter. Clicking on an entry takes you directly to the corresponding spot in the timeline. Checked off items remain as long as you generate the checklist again for the same time period. If the time period is outdated, a new list is generated.
The checklist is individual to each user and only applies to you, based on your own filters.
Task filter as a checklist entry:
In the checklist settings, you can optionally add task filters as well. You'll see a checklist entry for each filter. This way, you can set up specific filters that you always want to check when scheduling tasks.
The Task Sidebar
The task sidebar can be shown on the left side of the Planner in the user view (for a project or in the main view).
There are three standard filters:
- New: Tasks that were assigned to you or created for you within the last 7 days
- Mine: All tasks assigned to you (private and from projects)
- Private: Your private tasks
Below that is the list of your currently active projects.
The last section contains your task filters, which you can also view and edit in the main menu item Task Filters.
Clicking on any of these sections loads the corresponding tasks. Use the arrow at the top left to go back to the overview.
Show completed tasks
Completed tasks are initially hidden since they usually don't need to be scheduled anymore. You can show them in the list at any time using the icon with two checkmarks.
Show already scheduled tasks
Already scheduled tasks are automatically hidden in the list. Using the icon with the checkbox, you can show the hidden (already scheduled) tasks in the list again. You can identify them by the purple checkbox in the list.
"Scheduled" in the timeline view means that the tasks have start and end dates and are therefore already visible in the timeline.
Group, sort, and search the task list
The task list can be grouped, sorted, and searched using the icons above the list.
However, this only works for filters. When you open a project in the sidebar, it's automatically grouped and sorted by default the same way you know it from the project itself.
Availability in user selection
When you use the Planner and the workload view, you also have the option to see the availability of users within a time period when selecting users, assigning them to tasks, or making bookings. To do this, click the Availability button at the top right of the selection popup. The availability is then loaded for the displayed people and shown in the form of a bar.
The default time period corresponds to that of the task or the booking. If the task only has an end date, that day is considered. If no date is set, availability is checked for the current week. You can adjust the availability and the planned value in the selection field to search for other time periods if needed. However, changing this value does not affect the task or the booking.
Note: To view availability, you need read access to user planning.
FAQ
Can I open a project in the Planner?
When you go to a project and navigate to Tasks > Timeline, you can jump directly to the Planner using the Planner button at the top right. The project and project members are immediately preselected.
Can I adjust my weekly working hours in the Planner?
Yes! You can change your weekly working hours not only through your account settings, but also directly in the Planner through the workload view. Simply click on the displayed total of your working hours and adjust the hours to the desired amount.
