Calendar
The calendar shows you your tasks and personal appointments in one shared overview. Scheduled tasks automatically flow into the workload calculation and give you transparency about how busy you are.

Scheduling tasks in the calendar
On the left side of the screen you'll find the sidebar with your tasks. If it's collapsed, you can expand it with a simple click.
You can drag and drop tasks into the calendar to schedule them. In the calendar you can then move, resize, expand, duplicate, or remove tasks.
Scheduled tasks that don't have planned effort automatically disappear from the list. Tasks that have planned effort can be dragged into the calendar multiple times until the total hours of planned effort are reached.
Important: If a task is completely scheduled according to its planned effort and scheduled tasks are hidden, the task will disappear from the list. However, it's still possible to overbooking a task, meaning you can schedule it for 3 hours even though the planned effort is only 2 hours.
You can see from the small number in the planned effort how many times this task has already been scheduled in the calendar.
Converting scheduled tasks into time entries
Tasks you've scheduled in the calendar can now be directly converted into time entries. Just click on the three-dot menu on the respective task and select Create time.
Note: After time has been logged on a task, it's displayed in purple next to the task. If you hover over the display with your mouse, you'll see how much time you've logged on it.
If you click on the purple area, you can edit the time entry information.
Creating times and tasks via drag and drop
You can create new times or tasks directly in the calendar by simply dragging a section with your mouse and then selecting whether you want to create a time or a task.
Viewing time entries and appointments from other users
Want to see the time entries and calendar appointments of another user? Through the sidebar menu you can specifically select users, teams, or projects - the calendar will then show you their time entries and appointments.
Note: If another user has selected in their settings not to share the titles of their appointments, you'll see them as "Private".
All-day elements
In addition to absences and appointments from your linked calendar, the all-day row at the top of each day can display tasks and bookings that are scheduled for that day. This gives you a quick overview of everything directly in the calendar without having to switch views.
In the calendar settings you can specify whether all-day tasks should be shown or hidden.
- Bookings have a dotted border
- Tasks have a solid border
When you hover over an element with your mouse, the full name is displayed in a tooltip.
If you have the appropriate permissions, you can open or edit tasks and bookings directly from the calendar by clicking on the respective element. All-day elements cannot be moved or resized.
Note: The all-day row only displays tasks from active projects (yellow status). Tasks in projects with blue, red, or green status are not shown here.
Calendar settings
In the top right you'll find the calendar settings by clicking the button with the sliders. In the settings you can specify what's displayed in your calendar. You have the option to:
- Show or hide tasks scheduled in the calendar
- Show or hide tasks scheduled with a time
- Show or hide all-day tasks: Shows your assigned tasks that are scheduled in the planner but don't have any hours logged in the calendar.
- Show or hide tasks without a start date: Shows your assigned tasks even if they only have a due date (they appear as an all-day element on that day). This setting can only be enabled if all-day tasks is active.
- Show or hide appointments from your external calendar
- Show or hide logged times
- Show or hide bookings: Shows your assigned bookings in the all-day row.
Integrating the calendar
You can integrate your Google, Microsoft, or Apple calendar with awork so that your appointments are displayed under Calendar. You can decide whether the integrated calendar is only visible to you or should also be used for the workload calculation.

Logging times to calendar appointments
If you've connected your Google or Microsoft calendar, you can easily convert existing appointments into time entries. Just click on the three-dot menu on the respective appointment and select Create time.
If you click on the purple area, you can edit the time entry information. The title of the appointment is automatically used as a note for the time entry.
Quick access to logged times for a day or week
Want to know what you've logged on a specific day or during a specific week? No problem! Just click on the time badge in the calendar next to the date or above the week switcher. A popup will show you all time entries for that day or week.
Note: Logged times without a start or end time are also included in the total, so all times are considered, not just those visually displayed in the calendar.
If the daily limit is exceeded, the badge is highlighted in red, just like in "My Week" under Times.
FAQ
Can I show or hide scheduled tasks in the task list?
You can show or hide already scheduled tasks using the filter with the calendar icon and the checkbox.
This is useful when you only want to see tasks you haven't yet scheduled in the calendar.
If you show them, you can recognize tasks already scheduled in the calendar by the purple checkbox in the task list. You can always reschedule already scheduled tasks in the calendar.
Can already completed tasks be shown?
Completed tasks are initially hidden because they usually don't need to be scheduled anymore. You can show them in the list anytime using the icon with two checkmarks.
How are the tasks in the list sorted?
When you open a project, the tasks are automatically grouped and sorted by the lists within the project, just as you know it from the project.
Can I log times for other users?
If you have sufficient permissions you can log times for other users in the calendar. To do this, add the respective users in the calendar via the filter and select them.
Can I edit my appointments from within awork?
No, the appointments displayed in awork currently cannot be edited from within awork.
Can I see my calendar-scheduled tasks in my external calendar?
Yes, you can have your tasks scheduled in the awork calendar automatically transferred to your integrated Google or Microsoft calendar. Simply activate Sync in the calendar settings.
Can I open or edit tasks and bookings from the "all-day" row?
Yes. If you have the appropriate permissions, you can click on tasks or bookings in the all-day row and open or edit them directly.
Can I move all-day elements or resize them?
No. All-day elements in the calendar can neither be moved nor resized.
