Track time on projects and tasks using the global timer or manual entry, adding project details, notes, and billable status for accurate client billing

About time tracking in awork

For anyone who provides project-based services, time tracking is an essential part of billing clients. That's why it's important for every team member working on a project to track their time. For team members, time tracking can often feel like a necessary chore. That's why time tracking in awork is fully integrated with task management and designed to be so quick, easy, and flexible that it never becomes a burden.


What is a time entry?

  • A time entry always includes:
    • Date
    • Duration
    • The user it belongs to
  • You can also add:
    • Start and end times
    • Project and task
    • Note
    • Activity type
    • Billable status

Who can track time?

Anyone with a user account can track time in awork. However, you can only track time on projects and tasks that you can see, according to the permissions system.

☝️Note: Starting with the Professional Plan, admins can disable time tracking for all users.


How can I track time?

There are many ways and places to track time in awork. The main difference is whether you enter time afterward or track it live with a start-stop timer. The different options are described below.

Start-stop timer

Only one timer can run at a time in awork. When you start a new one, the previous timer stops automatically. The main place to access it is the globaler Timer at the bottom center of the screen. You can control it using the stopwatch icon and add information such as a project, task, or note.

You can start a timer in several places:

  • Directly in the globaler Timer

  • In the top-right corner of the task details

  • In the top-right corner of the project details

  • In the action menu of an existing time entry (this carries over all settings except the date and time)

First, use the search function to find a project, task, or time entry and track time against it. Alternatively, choose one of the following sections:

  • Zuletzt: Shows your most recently tracked time
  • Projects: Zuletzt verwendet, Favoriten, Meine, and Alle
  • Tasks: Zuletzt verwendet, Meine, and Alle

While the timer is running, you have several options:

  • Pause: The timer flashes blue and you can resume it later.
  • Delete a pause: Deleting the paused time adds its duration to the total tracked time.
  • Stop: Click the square icon to stop the timer.
  • Cancel: Click the trash icon to discard the entire entry.

For safety, awork also stops the timer automatically, either after 24 hours or when it reaches the daily limit set in the settings (for example, 10 hours), regardless of whether the timer was paused in the meantime.

Manually entering time

You can enter time manually in the following ways:

  • Click the + button in the left-hand menu, next to Zeiten. It appears when you hover over Zeiten.
  • In the Zeiten overview (Hauptmenü > Zeiten), click the + Zeit button in the top-left corner.
  • Use the Z. shortcut.
  • Select Zeit hinzufügen using the + button in the action bar at the bottom center.

A pop-up opens where you can set the duration using a slider or by entering it manually. Click "Details hinzufügen" to add information such as the activity, start and end times, or a note.

Slash commands are especially useful:

  • Type / to open commands such as search for projects or tasks.
  • /jetzt sets the end time to the current time. If the default duration is 1 hour, it sets the start time to one hour earlier.
  • /8-jetzt automatically creates an entry from 08:00 until now.

The duration and start time adjust dynamically as needed. You can also use Shift + Enter in the note field to add line breaks and create a note with multiple lines.


Day and week views

The "Zeiten" section offers several views. In the day view, you can create entries directly using drag and click. A window opens automatically with suggested start and end times. In the week view, you can add time day by day by clicking the dashed fields. This makes it quick and easy to plan your entire week.

Edit a time entry

You can easily edit time entries using the action menu.

  • You can change the start time or end time independently. The duration will change accordingly.
  • When you change the duration, awork automatically adjusts the end time and keeps the start time unchanged.
    • If you most recently changed the end time explicitly, changing the duration will adjust the start time instead.

Duplicate a time entry

To duplicate an existing time entry, open the action menu and click Duplizieren. This creates a copy that you can adjust as needed, so you don't have to enter everything again.


Delete a time entry

To delete an existing time entry, open the action menu and click Löschen.

This entry will then be permanently removed from the user and the project.


Track time for other users

If you have write access to a project, you can also track time for other team members. When creating an entry, simply select the person you want to track time for.

If you move a time entry to a project where you don't have write access, the entry will automatically be assigned to your own profile.


FAQ

Can I edit the timer's start time?

You can edit and adjust the timer's start time while the timer is running. The tracked time will adjust accordingly. Once the time entry is complete, you can also change the start time afterward under Zeiten, as long as your workspace settings allow it.

Can I pause the timer?

You can pause the timer at any time. When it's paused, it turns blue and flashes to remind you to start it again. Click the paused timer to reopen it, then click the Play icon to resume tracking.

If you click the action button on the time entry and select Bearbeiten, you can see how long the timer was paused. Click the "x" to delete the paused time. The paused time will then be added to the total tracked time.

Can I cancel the timer?

Click the running timer, then click the trash icon to cancel and delete the time entry. It won't appear anywhere in awork.

Can I hide the timer?

Yes. Starting with the Professional Plan, admins can hide the timer for the entire workspace under Einstellungen > Workspace > Zeiterfassung. You can still track time.

Can I disable time tracking?

Yes. Starting with the Professional Plan, admins can disable time tracking for the entire workspace under Einstellungen > Allgemein.

Can multiple timers run at the same time?

No, only one timer can run at a time.

Does the timer stop automatically?

The timer can run for up to 24 hours, even if you've closed your browser. After 24 hours, it stops automatically, unless you've enabled the maximum daily time tracking limit of 10 hours in the time tracking settings. In that case, the timer automatically stops after 10 hours.

Can external users track time?

External users who have been assigned to a project through awork Connect can also track time. Their time is logged to the project as usual and can be viewed in time reports. They can also see it in their own workspace under Meine Zeiten.
