Custom Fields

Custom Fields are user-defined fields in awork where you can store individual information for projects and tasks. They give your team the flexibility to adapt projects and project tasks clearly to your processes.

This makes projects not more complicated, but clearer:

  • Capture individual information centrally for projects and tasks

  • Create a unified structure in your team through workspace-wide defined fields

  • Get better overview in task lists through columns for custom fields

  • Improve filtering by using custom fields as criteria in task filters


How to create custom fields

Custom fields are created, edited, and deleted in Settings (gear icon in the bottom left of the main menu) under Custom Fields.

Important: You need permissions for Project Settings (General Permission Role) to manage custom fields in Settings.

  1. Navigate to Settings and select Custom Fields

  2. Click + Add under Custom Fields for Projects or Custom Fields for Tasks

  3. Enter a Name and choose a Field Type

  4. Save the field

After creating them, custom fields for projects are available in every project under Home in the details and can be used.

Custom fields for tasks are created at the workspace level, activated at the project level, and then used in tasks.

These field types are available:

  • Text for text input

  • Number for numeric values

  • Date optionally with time

  • Selection optionally with color

  • Link for URLs

  • Checkbox to enable/disable

  • User to select a user in the workspace (including external users)

  • Customer to select a customer

Important: Field types cannot be changed afterwards.

Activate custom fields for tasks in a project

In Settings in the main menu > Custom Fields:

  1. Click the Action button of a field > Activate in Projects
  2. Select as many projects as you want and confirm with Select

In Settings of a project:

  1. Click + Add in the Custom Fields for Tasks section
  2. Assign the available fields to the project and click Save

Only users with write permissions on project details can activate the fields needed in the project.

After activation, the fields are available in the project tasks.

Use custom fields in tasks

Activated fields appear in tasks as additional details.

Users with write permissions on tasks can fill in the fields.
Users with read permissions on tasks can view the fields but cannot edit them.

  • In Task details as additional detail fields
  • As a column in the table view of task lists
  • As a criterion in Task filters
  • In Project templates

Manage custom fields

  • Sort custom fields via drag and drop
    • for projects through settings in the main menu
    • for tasks through settings of a project
  • Edit a custom field in the settings in the main menu via the Action menu on the respective field

Delete custom fields

Option 1: Delete custom fields for tasks from a project

  1. Open Project Settings

  2. Click the X (Remove) on the field

  3. Confirm with Remove Field

This will delete the field's data from all tasks in the project.

Option 2: Delete custom fields workspace-wide

  1. Open Custom Fields in the main menu Settings

  2. Click the Action button on the respective field

  3. Select Delete and confirm with Delete Field

For custom fields for tasks:

The field's data will also be deleted from all tasks in the projects where the field is used.

For custom fields for projects:

The field's data will also be deleted from all projects that use the field.


Permissions

  • Create, edit, delete custom fields:
    Permissions for Project Settings (General Permission Role > Settings > Project Settings)

  • Activate custom fields for tasks per project:
    Write permissions for project details

  • Use custom fields in tasks:
    Write permissions for project tasks to edit; read permissions to view


FAQ

Why can't I create or manage custom fields?

You probably don't have enough permissions. Best to check with a workspace admin.

Are custom fields automatically visible in my project?

Once custom fields for projects have been created at the workspace level, they are displayed in every project.

Custom fields for tasks must be activated at the project level and can then be used in tasks.

Can I change the field type afterwards?

No. Field types cannot be changed afterwards.

Can custom fields be used in automations?

No. Custom fields are currently not available for automations.
