Importing Data
To make it as easy as possible for you to take over your existing tasks, awork has a data importer. To use it, your tasks including projects just need to be in Excel format (.xlsx).
☝️Tip: You can find out how to export your data from Trello, Asana, Monday, Jira, or Meistertask and prepare it for import into awork here.
Who can import data?
Only admins can import data.
What data can be imported?
The data import in awork primarily covers tasks with their details.
The following fields can be imported along with the tasks:
- Task name
- Project (name)
- Customer (name)
- Task description
- Activity
- Start date
- Due date
- Planned effort
- Assignee
- Task status
- Task list
Here, projects, customers, and task lists are independent objects in awork. If they are not found in awork during import, these objects will be created new. If objects with the same name are found, they will be reused. This way you can also import customers and projects, but not as standalone imports with all project or customer details.
Can I also import time entries?
No, importing time entries into awork is currently only possible via the API.
Can I import just customers or projects?
Standalone import of customers or projects with all their details is only possible via the API. However, you can import projects and customers in simple form through tasks (see above).
Step by step: The data import
Step 1: Navigate to Settings
Under Settings (gear icon in the bottom left of the main menu) > Importer you'll find the section for importing data.
Step 2: Prepare your data
Clicking the Start Import button opens a window where you can download a template that's already perfectly configured for import.
You can find out how to export your data from other tools here.
Fill in the template, use or create your own Excel spreadsheet (.xlsx) and populate it with your tasks.
In the same window, you can upload your Excel spreadsheet for import.
Step 3: Map the fields between awork and your Excel columns
If the column headers in your Excel spreadsheet cannot be automatically linked to the fields in awork, a window will open where you need to manually assign them.
If you use the template provided in awork, this step will be skipped.
Step 4: Review the data and manually correct it
All your data will now be displayed clearly in a large window. The data has not yet been imported at this point.
If there are issues, such as incomplete records, you'll be notified at the top of the window. Required fields like the task name must always have a value in order to be imported. The corresponding fields will be marked in red in the table.
If projects or customers with the same name already exist in awork, they will be used for the import and no new objects will be created. You can tell that an existing project or customer is being used by the small star next to the name in that field.
You can edit all data here row by row and cell by cell before it's imported. Just click on the corresponding cell.
Incomplete or faulty rows will be skipped during the import.
Step 5: Start the import
When you click Import, the data will be created in awork. Once the import is complete, you'll receive a notification via email.
