What is Filestage?
Filestage is a review and approval tool specifically designed for marketing assets. It organizes versions, feedback, and approvals for marketing projects and supports annotations in many different file formats - from PDFs to websites to videos.
What can the awork - Filestage Integration do?
The integration between awork and Filestage enables three main functions:
- Link an awork project with a Filestage project
- Start new reviews in Filestage by uploading a file in awork
- Sync the review status from Filestage back to awork

With both keys, you can fill out the awork - Filestage setup form to activate the integration in your workspace.
How does the integration work once it's set up?
Activate the integration for a project
The awork - Filestage integration is project-specific and needs to be activated individually for each awork project.
- After setup, a new custom field called "Enable Filestage Integration" appears in awork.
- When you activate this toggle:
- A Filestage project is automatically created with the same name as your awork project.
- The link to the Filestage project is stored in the "Filestage Link" field.
- The project in Filestage is created in a folder with the customer name (if set in awork).
- If no customer is set in awork, the "Internal awork projects" folder is used.
- Project members in awork are added as reviewers in Filestage if they already have an account there with the same email address.
Once these steps are complete, the Filestage integration is active.
Can I link existing Filestage projects with awork?
Yes, you can connect existing projects. Here's how:
1. Insert the link: Copy the link to your Filestage project and paste it into the "Filestage Link" field in your awork project.
2. Activate the integration: Turn on the "Enable Filestage Integration" toggle.
3. Add fields manually: Open your awork project settings and add the custom task fields (Filestage Link, Filestage Status, Filestage Review).
Note: Existing reviews are not automatically linked.
New reviews that you start from this awork project going forward will appear in the connected Filestage project.
How do I start a new review in Filestage?
To start a new review:
1. Activate Filestage Review:
Turn on the "Filestage Review" toggle in the task (this is only visible if the integration is enabled for the project).
2. Upload a file:
Upload a file to the task.
3. Automatic review start:
- A review is automatically started in Filestage.
- Once the upload is complete, the direct link to the Filestage review appears in the "Filestage Link" field.
- In Filestage, an internal team comment is added with the link to the awork task.
Important:
This process is only triggered for the first file added to an awork task. If a file is already in the task, that file will be used, regardless of whether you activate the toggle first or upload the file first.
Can I include an existing review process from Filestage in awork?
No, currently only reviews started in awork are supported.
Existing Filestage reviews cannot be synced retroactively.
What happens when a review is started?
- The "Filestage Status" field is automatically updated and shows the current overall status of the review:
- Open
- Under Review
- Needs Changes
- Approved
- For each review stage/group in Filestage, a checklist item is automatically created in awork.
- Once the group approves the file, the corresponding item is checked off.
- Comments in awork:
- Status updates from Filestage appear as comments in the awork task.
- If changes are requested, the change report is automatically attached to the comment.
Are there delays in synchronization?
Yes, especially with large files, it can take up to 30 seconds (or longer) for status changes from Filestage to show up in awork.
Can I extend the integration with automations in awork?
Yes, you can enhance the integration through automations in awork.
For example:
- If all checklist items are checked off (meaning all review steps are complete), you could automatically:
- Set the task status to "Review successful"
- Move the task to a different list
- Set a new due date
- Trigger other processes
