Create a weekly project overview

Generate a weekly project overview using an AI Workflow scheduled before team meetings to automatically summarize open tasks and overdue items

AI Workflow

It's Monday morning, your weekly team meeting is coming up, and your overview is already ready. An automated AI Workflow gathers the items across your projects that need attention each week, so you can get straight to the discussion.

Great for project leads who want to keep track of several active projects.

The problem

Open tasks, overdue to-dos, and missing assignees are spread across multiple projects. Gathering everything before your weekly meeting takes time, and important items can still slip through the cracks.

1. What this use case does

At a set time, the workflow creates a weekly overview of the selected projects. It summarizes open and overdue tasks, highlights tasks without an assignee, and flags potential topics for your weekly meeting. You remain in control of how the information is interpreted and prioritized.

Calendar events can be included if you've set up access to a suitable calendar.

2. How you can use it

For example, have the overview created every Monday before your team's weekly meeting. Choose which projects to include, then use the results as a starting point for your discussion.

Example instruction:

Create a weekly overview for our next weekly meeting using the projects added as context. Organize it by project and show open and overdue tasks, tasks without an assignee, and potential discussion points for each one. Flag missing information instead of filling it in. Don't make any changes to projects or tasks.

3. How to set it up

  1. In a project, open the AI tab and add a scheduled run under Geplant.

  2. Give the workflow a name and select the awork Agent. You don't need a specialized agent of your own.

  3. Add your instruction and the projects you want to include as context. Describe which tasks to check and how to organize the results.

  4. Set a weekly interval, then choose the day of the week, time, and time zone. Save the run.

  5. First, test the workflow with a limited number of projects and check that the overview includes the information you need. You may need suitable calendar access to include events.
