General information about time tracking in awork
For every project-based service provider, time tracking is an essential part of billing customers. Therefore it is important that every employee, who is working on the projects, tracks their time. Time tracking is often just a necessary evil for the employee. That's why time tracking in awork is fully integrated with task management and is so fast, simple and versatile that it is as little of a burden as possible for anyone.
What is a time in awork?
A time in awork is an entry with
a date
a duration
and a reference to a user.
In addition, further information can be added, such as:
start and end time
project and task
a comment
the type of activity
the info if the time is billable
Who can track time?
Every user can track time in awork. However, it is only possible to track time for projects and tasks that can be seen by the user (taking permissions into account).
☝️Hint: From the Professional plan onwards, admins have the option of disabling time tracking for all users.
How can I track time?
There are many ways and places to track time in awork. The main difference is that time can be tracked manually fors tasks and project or live by using a start-stop timer. In the following sections, the different possibilities are described in detail.
Start-Stop Timer
In awork, only one timer can run at a time. As soon as you start a new one, the previous timer stops automatically. The main entry point is the global timer at the bottom right of the screen. Using the stopwatch icon, you can control it and add extra details such as project, task, or notes.
You can start a timer from several places:
directly in the global timer
via the play icon in the task list
in the task details at the top right
in the project details at the top right
from the action menu of an existing time entry (this copies all settings except date and time)
You can also use the search function to look for a project or task and track time for it.
While the timer is running, you have several options:
Pause: The timer blinks blue and can be resumed later.
Delete a pause: If the paused time is deleted, it is added to the total tracked time.
Stop: Click the square icon to end the timer.
Cancel: Click the trash icon to discard the entire entry.
For safety, awork also stops the timer automatically: either after 24 hours or once the daily limit defined in the settings (e.g. 10 hours) has been reached — regardless of whether the timer was paused in between.
Manual time entry
You can also record times manually, for example in the time overviews or via the purple action button at the top right. A pop-up opens where you can set the duration using a slider or by entering it directly. With “Add details”, you can include additional information such as activity, start and end time, or a note.
The slash commands are particularly useful:
Typing
/opens commands such as searching for projects or tasks./nowsets the end time to the current time and, with the standard duration of 1 hour, adjusts the start time accordingly./8-nowautomatically creates an entry from 08:00 until now.
The duration and start time adjust dynamically when needed. In the notes field, you can also create line breaks for multi-line notes by pressing Shift + Enter.
Daily and weekly views
In the Times area, you have different views available. In the daily view, you can create entries directly by drag & click. The window then opens automatically with suggested start and end times. In the weekly view, you add times day by day by clicking on the dashed fields. This way, you can quickly and clearly plan the entire week.
Here you can find more information about the section My times.
Duplicating time entries
Existing time entries can easily be duplicated via the action menu. This creates a copy that you can adjust as needed without having to re-enter everything from scratch.
Recording times for others
If you have write access to a project, you can also record times for other team members. When creating a new entry, simply select the relevant person. If you move a time entry into a project for which you don’t have write access, the entry is automatically reassigned to your own profile.
