Filters help you quickly find exactly what you’re looking for — whether it’s tasks, projects, users, or clients.

How to use Filters

You can filter data in different places in awork, including task filters (saved as Views) and overview pages for projects, clients, and users.

Use task filters in the Views sidebar

Task filters are saved as Views and are accessed via Views in the side menu. In the sidebar, you can create new task filters, search them, organize them, and share them with other users or your whole workspace (with read or manage access).

Understand default filters

The first section in the Views sidebar contains your default filters (New tasks, My tasks, Private tasks).

Default filters cannot be changed or deleted, but can be collapsed to hide the whole section.

  • New tasks:
    Shows all tasks that you are assigned on from the past 7 days and not closed.

  • My tasks:
    Displays all tasks where your user is assigned.
    Tasks from projects with the status Not started, Stuck, or Done are excluded.

  • Private tasks:
    Shows all your private user tasks.

Favourite Views

When a view (task filter) is favourited, it appears in the Favourites section of the Views sidebar.

Reorder favourites via drag and drop.

Find Views shared with you

In Shared with me, you’ll see all filters that have been shared with you, your team, or your workspace.

Archive Views you want to hide

To hide a filter, archive it:

  1. Click the three-dot menu on a filter

  2. Click Archive

Archived filters appear in the Archived filters section. Unarchive anytime via the context menu.

Archived filters cannot be changed until they are unarchived.

Delete Views

  1. Click the three-dot menu on a filter

  2. Select Delete filter

Important: Deleted filters cannot be restored.

Reorder Views in the sidebar

You can reorder filters in the Views sidebar via drag and drop.

Default and archived filters cannot be reordered.


How to create a task filter (View)

Create a task filter from the Views sidebar. This starts as an empty draft that you fill using Quick Filters or the Advanced filter modal.

Create a new draft View

  1. Navigate to Views from the side menu

  2. Click the + button in the Views sidebar

  3. Add criteria using Quick Filters or Advanced

Build a View with Advanced filters

  1. Click Advanced

  2. Click + Add filter and select or search for a property

  3. Enter a value or select an element from the popup

  4. Click outside the popup to confirm

  5. Adjust the operator (for example from IS to IS NOT or CONTAINS)

  6. Add as many filters as you like

  7. If you have two or more filters in one filter group, switch between AND and OR

  8. Click Apply

  9. Click Save in the filter bar and select Save as new

  10. Give the task filter a name and press ENTER or click outside the popup

Once a draft is saved, the filter is shareable and you can favourite it.


How to use Quick Filters

Quick Filters are the fastest way to filter data directly on a page.

  • Displayed as badges in the filter bar

  • Always connected with AND

  • Advanced criteria show as an “Advanced filter badge” when they can’t be displayed as quick filter badges anymore

  • Available options vary depending on the page and can be fewer than in the advanced filter modal

Quick Filters are available on:

  • Task filters (Views)

  • Projects overview

  • Users overview

  • Clients overview

Apply Quick Filters

  1. Open a supported overview page (for example Projects) or a task filter (View)

  2. Click + Filter by

  3. Select one or more properties

  4. Click outside the popup to apply

  5. See results instantly

Save a Quick Filter setup

  1. Make changes until you see the unsaved changes indicator

  2. Click Save/load filter

  3. Save changes into the current filter (if one is loaded) or save as a new one

  4. Give it a name and click outside the popup to confirm

Tip: You can always add more Quick Filters by clicking + Filter by again. If you need more complex logic, click Advanced.

Load a saved filter on overview pages

This applies to overview pages for projects, users, and clients.

  1. Click Save/load filter in the filter bar

  2. Select a saved filter from the list

Remove a loaded filter on overview pages

To remove a loaded filter on an overview page, click the x-button at the very right of the filter bar.

You may see an arrow on the button instead of the x. This means you have local changes on your saved filter, and you must discard them before the loaded filter can be removed from the list.


How to use Advanced filters

Advanced filters let you build more complex logic. You can open the modal from any view where filtering is possible via the Advanced filter button (when the filter bar is showing).

You can:

  • Combine multiple conditions

  • Use AND / OR logic

  • Use operators like IS, IS NOT, CONTAINS

  • Group conditions into filter groups

  • Create a filter with the help of AI

Create an Advanced filter

  1. Click Advanced filter (the filter bar must be visible)

  2. Build your filter step by step

  3. Click Apply to apply the changes to your view

  4. Click Save to update the filter or save it as a new one

Use connectors (AND / OR)

Connect segments using:

  • AND → All conditions must be true

  • OR → At least one condition must be true

You can only have the same connector in one filter group (either all ANDs or all ORs).

Use filter groups (brackets)

Group segments into brackets to control logic.

Example:

  • (Status = “In Progress” OR Status = “Review”)

  • AND Assigned to = Me

This lets you build advanced structures without complexity.


Filter building blocks (filter bar, segments, and groups)

Filter bar

The filter bar can be shown or hidden via the filter button in the action bar. It is accessible for task filters and on the overview pages of projects, clients, and users.

Default filters don’t have a filter bar.

If the filter bar is not visible but the filter icon is blue, a filter is active.

The filter bar gives you access to:

  • Add or remove Quick Filters

  • Open Advanced filter

  • Save changes

  • Revert local changes

Filter segments

Each filter consists of segments.

A segment is a single condition: Property → Operator → Value

Examples:

  • Status is “In Progress”

  • Due date before tomorrow

Filter groups

To bundle filters together, use filter groups.

  1. Click + Add filter group

  2. Add the filters you like

  3. Click the connector to change the connection

  4. To delete a whole filter group, hover on the right of the group until you see a red x, then click it

Local changes to a filter

You can always add local changes to a filter (including shared filters) if you need a specific configuration.

  • Discard local changes via the button in the filter bar

  • Save changes into the filter if you have permission


Available filter options and operators

Available filter options

Depending on where you use filters, you can filter by:

  • Tasks (status, assignee, due date)

  • Projects (status, client, team)

  • Users (team, role, status)

  • Clients (tags, address)

Operators explained

Operators define how a filter works. Common operators include:

  • Is / is not → Exact match

  • Contains / does not contain → Text-based match

  • Is set / is not set → Checks if a value exists

  • Before / after / between → Date-based filters


How to save filters

You can save filters to reuse them later.

Available actions:

  • Save a new filter

  • Update an existing filter

  • Duplicate a filter

  • Delete a filter

To access saved filters:

  • Open the filter menu

  • Select from your saved filters list


How to share filters

You can share Advanced Task Filters with other users, teams, or the whole workspace.

  1. Click the three-dot menu on a filter and select Share

  2. In the popup, add users or teams and set permissions

Permissions include:

  • View access: Users can only view the filter

  • Manage access: Users can edit and save the filter (updates apply to everyone with access)


How to use filters in Dashboard widgets

You can add task filters and project filters as widgets to your Dashboard.

  1. Click Customize, then click + Widget

  2. Select List of projects or List of tasks

  3. Name the widget and select an existing filter, or create a new one via + Create filter


Best practices and Limitations

  • Start simple with Quick Filters, then refine

  • Use groups (brackets) to control complex logic

  • Save frequently used filters to save time

  • Use “is not” and “not set” to exclude results

  • Preview results before saving

  • Only Advanced Task Filters can be shared

  • Changing a property may reset selected values

  • Links (e.g. bookmarks) from the old filter are not supported because filters are now a different entity: “Views”

FAQs

Where can I use Quick Filters?

Quick Filters are available on Task filters (Views), the Projects overview, the Users overview, and the Clients overview.

Why is the filter icon blue when I can’t see the filter bar?

If the filter bar is hidden but the filter icon is blue, it means a filter is active.

Can I share any filter with my workspace?

Only Advanced Task Filters can be shared with other users, teams, or the whole workspace.

What’s the difference between archiving and deleting a filter?

Archived filters are moved to Archived filters and can be unarchived later. Deleted filters cannot be restored.

Why can’t I edit an archived filter?

It is not possible to add changes to an archived filter. You need to unarchive it first.

Why don’t I see any results?

Conditions may be too restrictive. Remove one segment at a time and try again.

Why did my filter change?

Some operators reset values when changed. Entities may no longer exist (like users or tags).

Why can’t I edit a segment?

Some properties must be removed and re-added to be changed.
