Overview

awork AI is a prompt-based AI assistant available anywhere in awork. It helps you get information, perform actions, create content and to interact with awork using natural language.


How do I access awork AI?

You can open awork AI in different ways:

  • Floating menu: Bottom center of the page (draggable to bottom-right) → awork AI button

  • Keyboard shortcut:

    • Mac: Cmd + I

    • Windows: Ctrl + I

  • Close assistant: Press Esc or click the close button in the top-right corner


What are the interface modes?

Popup Mode

In popup mode, awork AI appears above the floating menu. You enter your prompt at the top, and the AI’s response appears below. The popup can be expanded to give more space or collapsed back to its smaller size when not needed.

Sidebar Mode

In sidebar mode, awork AI opens on the right side of the screen at full height, overlaying the content area. You can pin the sidebar so that it permanently takes up space instead of overlaying the main view. Once pinned, this state is remembered until you switch back to popup mode.


How do conversations work?

When you type a prompt, awork AI replies in the same conversation thread and keeps track of context. If you want to start fresh, you can click the “New Conversation” button or use the shortcut again. You can also access your conversation history through the button at the top, which lets you review or continue previous chats.


Context Awareness

awork AI automatically detects the screen or entity you currently have open, such as a project or task. When you refer to “the current project” or “the current task,” the AI understands this as the item that is visible on your screen at that moment. If you navigate to a different page while chatting, the AI updates its context to match your new view.

Importantly, the AI only has access to the same information you can see based on your user permissions.

Bulk Operations

For bulk changes, AI will always ask for confirmation before executing any command.


Tips & Limitations

Known Limitations

  • Copying or duplicating projects may not work correctly

  • Task distribution to lists can stop mid-operation

  • Inviting users to the workspace or via Connect is not possible

  • awork AI cannot create custom fields

  • Rarely, awork AI may make mistakes - if in doubt, please double-check that data is correct

Tips for Best Use

  • Confirmation is always required for large/bulk actions

  • Always double-check results (AI may make mistakes)

  • Rate responses with 👍 / 👎 to improve the system

  • Example prompts are available at the bottom of the popup


Compliance & Security

awork AI is hosted in the EU and fully GDPR-compliant. It exceeds the standards for AI transparency defined in the EU AI Act and does not use any customer data for AI training. The assistant always respects user permissions and will never access information that a user cannot see.

Is awork AI included in my plan?

During the beta phase, awork AI is available in all plans.

Can I disable AI features in my workspace?

Admins can fully disable awork AI under Settings > General.
