OS/ Agency Software Integration

Connect OS/ and awork to automatically sync project data, time budgets, and work hours for real-time cost tracking and billing

OS/ is the project controlling and ERP software for agencies and production studios. awork handles your operational work management: plan tasks, organize deadlines and capacities, track progress, and log work hours.

Together, OS/ and awork connect project management and project controlling: you plan and work in awork, while OS/ keeps the numbers in real time under control - budgets, actual labor costs, profitability, forecasts, and billing.

Key Benefits and Use Cases

With the OS/ and awork integration, you get a seamless workflow: Estimation & project controlling in OS/ → project management & time tracking in awork → costs, billing & profitability back in OS/

This means you don't have to maintain project data in multiple places, and you can manage your projects consistently from planning through billing.

Benefits at a Glance

  • Automatically sync projects: Relevant project data is synchronized between OS/ and awork.
  • Keep resources and time budgets in view: Time budgets from OS/ are available for operational planning in awork.
  • Automate tasks and task packages: awork templates can be selected via a custom field when creating a project in OS/.
  • Log time where the work happens: Work hours can be logged in awork or via myOS/ and transferred to OS/.
  • See actual labor costs: OS/ takes the logged hours into the project calculation and shows true labor costs.
  • Control projects in real time: Budget, resources, and profitability stay in focus throughout the entire project lifecycle.
  • Invoice time: Work hours logged in awork can be used for billing in OS/.
  • Create forecasts: OS/ helps you predict future project costs and resource development.

How Synchronization Works

Projects

OS/ and awork work together throughout the project lifecycle. The integration synchronizes relevant project data so you don't have to manage it separately in both systems.

  • Projects can be created and updated in one step together.
  • Important information like customer, project period, and team stay consistent.
  • The operational project work happens in awork, while OS/ provides the commercial perspective with estimation, budget, and project controlling.

Once you set up your OS/ awork integration, your OS/ projects are automatically created in awork and released for your project team. Data like customer, title, start, end, and project team are transferred and updated whenever anything changes.

Resources and Time Budgets

OS/ connects your project estimation with operational planning in awork. This way, you can factor in planned resources and time budgets in awork while at the same time controlling in OS/ how the project is actually developing.

The awork time budget is taken directly from your OS/ estimation and updated continuously. This way, your team can plan projects and tasks efficiently and knows which resources are available.

Optionally, your project estimation is also transferred to awork. This lets you see how many resources are planned in each project phase. You can then plan more accurately and precisely track how much has already been used.

You see not only what was planned, but also how much of it has already been used.

Sync Tasks and Line Items

The integration connects the task structure between OS/ and awork. Tasks, additional tasks, and subtasks are part of the collaboration. Your team uses awork for operational work, while OS/ creates the connection to project line items and budgets.

Use activities for clean time tracking

For time tracking, you should assign activities in awork to the respective tasks. Activities from OS/ that are synced to awork can also be used there for time tracking. Time logged on synced OS/ tasks is assigned to the corresponding service line item in the OS/ budget. Synced tasks are recognizable in awork by the OS/ tag.

Time Tracking

With the integration, you can log time wherever your team is already working: directly in awork or via myOS/.

The logged work hours flow seamlessly into OS/ project calculation and controlling. This means you see not only the hours worked but also the resulting actual labor costs.

Labor Costs

OS/ lets you determine the actual labor costs (true labor costs) of a project based on logged work hours. With this feature, you can:

  • See how many hours have already been worked
  • Understand the consumption of your planned budget
  • View the personnel costs incurred
  • Analyze the project's profitability

This way, time tracking in awork provides a reliable foundation for project controlling in OS/.

Automatic Rollout of awork Templates and Task Packages

You can use awork templates directly when creating a project in OS/ to automate recurring tasks. Here's how:

  1. Open Integration Settings in OS/.
  2. Click Edit on the awork integration.
  3. Enable the option Give users the option to select a template when creating a new project.
  4. Save the settings.

OS/ automatically creates a custom field in your project custom fields. When creating a new project, you can select the desired awork template. Once the project starts, OS/ knows via the custom field which task list should be rolled out in awork. This way you standardize recurring task packages and start operational project work without manual assignment.

Invoice Time

OS/ takes your time tracking from awork and you can easily invoice it in OS/ - optionally in addition to your project price or external costs.

Invoiced time entries are marked as invoiced in awork once the corresponding invoice has been issued.

OS/ also calculates your actual labor costs from your time tracking. This way, you have both work hours and the financial effort per customer or project in view.

Reports and Forecasts

The synchronization doesn't just provide current project data, it also creates a foundation for future decisions. OS/ provides forecast reporting so you can plan ahead for project costs and resource development.

This way you can identify early if a project is developing differently than planned and adjust your operational planning in awork accordingly.

Additional Sync Info

OS/ constantly updates the status of your awork projects so your entire team is transparently informed whether a project is confirmed or completed. Your awork customer list is continuously updated, and you can easily access your awork project via the logo in the project list.

How to Connect awork to OS/

To set up the connection, you first create an API client in awork and then copy the API Key to the OS/ integration.

1. Create API Client in awork

  1. Open Settings > Integrations in your awork workspace

  2. In the API Clients section, click + API Client

  3. Set up the client with the following values:
    Name: OS/ Integration
    Client ID: {Workspace-ID}-OS (Example: SAMPLE-OS)
    Redirect URI: http://localhost/os-api

After saving the API client, awork shows a Secret Key.

This Secret Key is NOT the API Key you need to enter in OS/.

Here's how to find the correct API Key:

  1. Close the window after creating the API client.
  2. Click the action button on the right next to the API client you created.
  3. Open Manage API Keys.
  4. Click the Key icon to open the API Key.
  5. Copy the displayed API Key (196 characters long).

2. Add awork to OS/

  1. Open Workspace Settings in OS/.
  2. Go to the Integrations menu item.
  3. Under Available Integrations you'll find awork.
  4. Click + Add on the awork tile.
  5. Enter the awork API Key you copied earlier.
  6. Click Save.

The integration is now set up.

Note: The option "Synchronize budget sections and internally-sourced line items to awork lists and tasks" is a beta feature.
