The functions of the old planner will no longer be accessible from 4th December. In May 2022, we released the new planner in awork. Since then, it has been at the centre of the development of features for team planning.

After 1.5 years, it is now time to retire our old planner. If you are still using the old planner yourself, don't worry - you don't have to do anything!

In this article, you will find all the necessary information about the transition and learn what you need to consider when switching to the new planner:

How does the transition work?

From 4th December, it will no longer be possible to switch from the new planner to the view of the old planner. There is nothing special you need to do for this transition.

The best thing to do is to take the opportunity to acquaint yourself with the new planner now. This way, you will start with a familiarised workflow on the day of the switch and make the transition as smooth as possible for you.

What happens to the data?

All data is retained, but even better: in addition to the information you are familiar with, the new planner offers numerous advantages. These benefits include, for example:

  • An improved colour structure

  • More information when hovering over the workload with the mouse

  • The option to set blockers

  • A much more precise workload calculation

  • Individual working times per day

The details of these benefits are explained in the next section.

New planner, new luck πŸ€

Unlike the old planner, the new planner provides an accurate and precise overview of your team's workload. It achieves this by seamlessly connecting project planning with each team member's personal calendar. The workload calculation is comprehensive and includes projects, tasks, calendar appointments and even tracking times. This means that the team's workload is always kept up to date.

Clarity is improved by a colour-coded structure and detailed insights into the composition of the workload are visible when hovering the mouse over it. Another advantage of the new planner is the ability to customise working hours. This means that working hours can vary from team member to team member.

With the booking function in awork, you can quickly reserve users for projects in certain time ranges. This makes it possible to include unplanned projects or tasks in the workload calculation. The new planner therefore offers a high degree of flexibility and efficiency when planning and managing your team's workload.

Sounds good, doesn't it? You can find out exactly how the new planner is structured in the next section.

How is the new planner structured?

The new planner is characterised by three main views:

  • The workload view: This gives you an overview of how busy your team will be in the coming weeks. Here you can see exactly how the workload of your team members is made up of planned projects, tasks and calendar appointments.

  • The timeline view: You already know this from your awork projects. Your team's planned to-dos are displayed here. You can see at a glance who is currently working on what and can quickly distribute unplanned tasks.

  • The calendar view: This shows you your team's calendar, including appointments and blockers. Here you can plan new tasks directly in the calendar for yourself as well as for other team members.

These three views make the new planner an efficient and user-friendly tool for planning and managing your team.
