Filestage is a tool for review and approval processes, specifically designed for marketing assets. It organizes versions, feedback, and approvals, and supports annotations in many file formats (such as PDFs, websites, and videos).

How to Use the awork - Filestage Integration
Set Up the Integration
Before you get started with projects, you need to activate the integration in your workspace.

Create an API key in awork following this guide (API key without user authentication): Client Applications and API Keys

Fill out the awork - Filestage setup form with both keys to activate the integration in your workspace
Activate the Integration in an awork Project
The integration is project-specific. You activate it in each awork project separately.

New field in awork - After setup, the custom field "Enable Filestage Integration" will appear

Toggle the switch - When you turn on "Enable Filestage Integration", the following happens automatically:

Filestage project is created - With the same name as your awork project

Filestage link is saved - In the "Filestage Link" field in your awork project
-
Project folder in Filestage - Is created in the folder with the customer name (if set in awork); without a customer, it goes in the "Internal awork projects" folder

Reviewers are added - awork project members are added as reviewers in Filestage if they already have an account there with the same email address

Once that's done, the Filestage integration is active for this project.
Link Existing Filestage Projects to awork
You can also connect an existing Filestage project.

Copy the link to your Filestage project and paste it into the "Filestage Link" field in your awork project

Turn on "Enable Filestage Integration"

Open the project settings in awork and add the custom task fields: Filestage Link, Filestage Status, Filestage Review
Note: Existing reviews won't be linked automatically. However, new reviews that you start from this awork project going forward will appear in the connected Filestage project.
Start a New Review in Filestage from awork
A review is started via a task.

Enable the "Filestage Review" toggle in the task (only visible if the integration is active in the project)

Upload a file to the task

Wait for the upload to complete
After that, the following happens automatically:

Review is started - A review is automatically created in Filestage

Link is set - The direct link to the Filestage review appears in the "Filestage Link" field in awork

Task link as a comment - An internal team comment with the link to the awork task is added in Filestage
Important: This process is only triggered for the first file added to an awork task. If a file is already in the task, that file will be used - regardless of whether you turned on the toggle first or uploaded the file first.

What Gets Synced in awork After Review Starts

Checklist entries - A checklist entry is automatically created in awork for each review stage/group in Filestage; it gets checked off when approved

Comments in the task - Status updates from Filestage appear as comments; when changes are requested, the change report is automatically attached
Sync Delays
With large files, it can take up to 30 seconds (or longer) before status changes from Filestage appear in awork.
Known Limitations

Only awork-started reviews - Currently, only reviews that are started in awork are supported

No retroactive sync - Existing Filestage reviews cannot be synced retroactively

You can extend the integration with automations in awork.
Example: If all checklist entries are checked off (all review steps completed), you could automatically:

Can I link an existing Filestage project to an awork project?
Yes. Add the Filestage project link in awork in the "Filestage Link" field, turn on "Enable Filestage Integration", and add the custom task fields (Filestage Link, Filestage Status, Filestage Review) in the project settings.
Are existing Filestage reviews automatically imported into awork?
No. Existing reviews won't be automatically linked or synced retroactively. Only reviews that are started in awork are supported.
Why doesn't a new review start when I upload a second file to the task?
The automatic review start is only triggered by the first file added to an awork task. If a file is already in the task, that file will be used.
Why do I see status changes in awork only later?
Especially with large files, the sync can take up to 30 seconds (or longer) before changes from Filestage appear in awork.
