What is Filestage?

Filestage is a review and approval tool built for marketing assets. It organizes versions, feedback, and approvals for marketing projects and supports annotations in many different file formats from PDFs to websites and movies.

What can the awork - Filestage integration do?

The awork - Filestage integration allows 3 things:

  • Linking an awork project to a Filestage project

  • Starting new reviews in Filestage by uploading a file in awork

  • Syncing the review status from Filestage back to awork

How do I set up the awork - Filestage integration?

  1. Create an API Key in awork as per this description (API Key without user authentication).

  2. Create an API Key in Filestage as per this description.

  3. With these two keys in place, use the awork - Filestage integration setup form to enable the integration in your workspace.

How does the awork - Filestage integration work once set up?

How do I enable the awork - Filestage integration for a project?

The awork - Filestage integration is project specific and needs to be enabled for every awork project individually.

  • After setting up the awork - Filestage integration, projects in your awork workspace will have a new custom field 'Activate Filestage integration'

  • Enabling this switch will automatically create a Filestage project with the same name as the awork project and place the link to it in the custom field called 'Filestage link'

  • The Filestage project will be created in a folder with the name of your client (if set in awork) or, if the client in awork is not set, in the folder 'Internal awork projects'

  • If there are project members assigned to the project in awork, will try to add them as reviewers in Filestage, too (if they have accounts with identical emails).

  • The filestage integration is now active for this project

Can I connect already existing Filestage projects to awork?

Yes, it is possible to connect existing projects to awork. To do so:

  • Copy & paste the link to your Filestage project into the field 'Filestage Link' in your awork project

  • Enable the switch 'Activate Filestage integration'

  • In the awork project's settings, manually add the necessary task custom fields (Filestage link, Filestage Status, Filestage review) to the project

Already existing reviews will not be linked, however, but any new reviews started from that awork project will now be created in your linked Filestage project.

How do I start a new review in Filestage?

To activate the Filestage Integration for any task in your awork project:

  1. Activate the switch 'Filestage Review' on the task (only available if the integration is enabled for this awork project, see above)

  2. Upload a file to the task

  3. The Review will be started in Filestage and once the transfer is complete, the direkt link to the Filestage review will appear in the 'Filestage Link' field

  4. A team internal comment with the link to the awork project will be attached to the new review in Filestage

This process will only start for the first file uploaded to any awork task. If there is already a file present on the task when the integration is triggered, that file will be used (so the order of enabling and/ or uploading does not matter).

Can I link an existing review flow from Filestage to awork?

No, that is not supported at this time. All synced reviews must be started in awork.

What does the awork - Filestage integration do, once a review is started?

  • The custom field 'Filestage Status' will automatically update to the overall review status in Filestage (Open, Under Review, Needs Changes, Approved)

  • A checklist item will automatically be created for every review stage/ group in Filestage and checked off, once that group has approved the file

  • Comments will be generated on the awork task with updates in Filestage. If there are changes requested, the change report will be automatically attached to the comment in awork.

Is there a delay in the sync between awork and Filestage?

When the files synced between awork and Filestage are large, it can take a moment to sync them through the integration and there may be delays of up to ~30s from a status change in Filestage to appear in awork.

Can I extend the awork - Filestage integration using automations in awork?

Yes. For example, an automation could be triggered when all checklist items have been checked off (all review steps approved) to then automatically change the task status in awork to 'Review Successful' or move the task to a different list, set a new due date, etc.
