With Custom fields, your team gains the flexibility to easily and clearly adapt project tasks to individual processes by integrating all important information directly into the details.

What is a Custom field?

Custom fields are user-defined fields in awork, where individual information for tasks can be stored. They are available starting from the Business plan. Business plan users are limited to 12 fields per workspace. Enterprise plan workspaces can use Custom fields without any limitation.

Creating and activating Custom fields

Custom fields are created at the workspace level, activated at the project level, and then used at the task level.

Creating Custom fields across the Workspace

Users with permissions for project settings (General Permission Role) can find the Custom fields tab in the workspace settings. There, you can create, edit, and delete fields.

To create a new field, click on the blue highlighted "+" symbol. You can then assign a name to your field and select a type. The following types are available for creating Custom fields:

  • Text: Custom field with text input

  • Number: Custom field with number input

  • Date (optional with time): Custom field with date selection

  • Selection (optional with color): Custom field with a selection option

  • Link: Custom field for storing links

  • Checkbox: Button that can be toggled on/off

  • User: Custom field with multi-selection for workspace users

☝️ Note: Field types cannot be changed afterward.

After saving the field, it is now available for activation in projects.

Activating Fields for projects

In the project settings, all created Custom fields are now available. Users with write permissions on project details can activate the fields needed for the project here.

Once the field is activated in the project settings, the Custom fields are available to all users in project tasks.

By clicking on the "X" of the respective field, you can remove it from this project again.

Using Custom fields in tasks

The Custom fields activated by the project lead are now available in the project tasks as details. The usage of the respective fields depends on the user's permissions on tasks:

  • Users with write permissions on tasks can now fill these fields with the necessary information.

  • Users with read permissions on tasks can only view the fields but not edit them.

Where to find Custom fields

Workspace-wide created fields are available in various places in awork:

Task details

In the task details, Custom fields are displayed as additional detail fields.

Task lists

All workspace-wide created fields can be displayed as a column in the task lists. You can also directly edit your Custom fields in the task overview of your project. To do this, select your Custom field in the displayed columns. You can then edit it directly in the overview.

☝️ Note: To select the displayed columns, you may need to reduce your zoom level and/or collapse the left menu bar.

Task filters

You can also use Custom fields as a criterion when creating task filters. Create a new task filter and select the Custom field in the Task filters category that you want to use in your filter.

Project templates

Custom fields are also available in the project templates. More about project templates can be found here.

Managing Custom fields

You can manage your Custom fields at any time in the workspace settings under the Custom fields tab.

For better organization, you can sort your fields by drag-and-drop in the general and project settings as desired.

Editing Custom fields

In the general settings under Custom fields, you will find an overview of your Custom fields. Using the 3-dot menu on the respective field, you can edit it. Here, you can change the name of the field afterward. Changing the field type is currently not possible.

Deleting Custom fields

You can also delete fields afterward, but be aware that this may affect existing fields in your projects. You can delete Custom fields only for projects or for the whole Workspace:

Deleting from a Project

In the project settings, you can delete Custom fields by clicking on the "X" of the respective field.

You will receive a warning pop-up asking if you really want to remove this field from the project.

Upon deletion, this Custom Field and all associated information will be deleted from this project.

Deleting Workspace-wide

Using the 3-dot menu on the respective Custom Field, you can delete the field.

If you want to delete the Custom Field, you will receive a warning pop-up before the final deletion, asking if you really want to delete this field. You will also be shown how many projects this field is used in, so you know which data will be lost.

Upon deletion, this Custom Field and all associated information will be deleted from the affected projects.

FAQ

In which plan are Custom fields available?

Business plan (limited to 12 fields per workspace) and Enterprise plan (unlimited).

Why can't I create or manage Custom fields?

This is probably because you don't have sufficient permissions to create or manage them. Check this with a workspace admin.

What permissions do I need to create, edit, and/or delete Custom fields?

  • Create, edit, and/or delete fields in the workspace settings: Users with permissions for project settings (General Permission Role > Settings > Project Settings).

  • Activate fields in the project settings: Users with write permissions on project details.

  • Use fields in tasks:

    • Users with write permissions on tasks can now fill these fields with necessary information.

    • Users with read permissions on tasks can only view the fields but not edit them.

Can Custom fields be used at the project level?

No, currently Custom fields can only be used at the task level.

Are Custom fields automatically visible in my project?

No, Custom fields must be created at the workspace level and activated at the project level. They can then be used at the task level. They are then found in the task details.

Can Custom fields be used in automations?

No, Custom fields are currently not available for automations.
