Our Approach to AI

awork uses Artificial Intelligence (AI) responsibly, transparently, and purposefully.
AI features support you in your daily work and don't replace human decisions or judgments.


AI Technology & Infrastructure

  • awork uses the Microsoft Azure OpenAI Service.
  • AI processing takes place within Europe (data center: Sweden Central).
  • AI services are operated under Microsoft's Enterprise security and compliance standards.
  • No self-hosted or uncontrolled third-party AI systems are used.

This architecture ensures a high level of security, availability, and regulatory compliance.


AI Usage in awork

  • AI features support you with things like:
    • Text suggestions,
    • Summaries,
    • Recommendations,
    • Automations in your work context.
  • The AI processes only workspace data that you have access to.
  • AI makes no automated decisions with legal or comparable significant effects.

Default Activation & Your Control

  • AI features are enabled by default in the product.
  • You, as a workspace administrator, can turn off the AI feature whenever you want.
  • Once you disable it, the AI's access to workspace data is completely blocked.
  • No AI processing happens once the feature is disabled.

This way, you always have full control over how AI is used.


Data Protection & AI

  • AI processing follows the same data protection and security standards as all other awork features.
  • Your data is never used to train general AI models.
  • No AI training happens with your data.
  • Data transfer is encrypted.
  • AI content isn't logged or permanently stored unless it's needed for processing.
  • A built-in content filter blocks abusive or potentially harmful content.

Classification Under the EU AI Act

Based on the current features:

  • awork's AI features fall into the low-risk category according to the EU AI Act.
  • awork doesn't provide high-risk AI systems.
  • No prohibited AI practices under the EU AI Act are used.

The classification and use of AI is continuously reviewed in light of regulatory developments.


Governance & Responsibilities

  • AI usage is governed by internal policies and review processes.
  • Responsibilities for AI, data protection, and information security are clearly defined.
  • AI features are regularly reviewed against GDPR, ISO 27001, and regulatory requirements.
